This Privacy Policy explains how we collect, use, disclose, and protect information when you visit and use our website.

Who we are

This site is operated by the UERMMMC Nursing Alumni Association (the “Association,” “we,” “us,” or “our”).

Comments

When visitors leave comments on the site we collect the data shown in the comments form, and also the visitor’s IP address and browser user agent string to help spam detection.

An anonymized string created from your email address (also called a hash) may be provided to the Gravatar service to see if you are using it. The Gravatar service privacy policy is available here: https://automattic.com/privacy/. After approval of your comment, your profile picture is visible to the public in the context of your comment.

Contact forms (Contact Form 7):

If you contact us using our forms, we collect the information you submit (typically your name, email address, and message contents) so we can respond to your inquiry. Messages are usually delivered to us by email and may also be stored in the website’s database depending on configuration.

Media

If you upload images to the website, you should avoid uploading images with embedded location data (EXIF GPS) included. Visitors to the website can download and extract any location data from images on the website.

Cookies

If you leave a comment on our site, you may opt-in to saving your name, email address and website in cookies. These are for your convenience so that you do not have to fill in your details again when you leave another comment. These cookies will last for one year.

If you visit our login page, we will set a temporary cookie to determine if your browser accepts cookies. This cookie contains no personal data and is discarded when you close your browser.

When you log in, we will also set up several cookies to save your login information and your screen display choices. Login cookies last for two days, and screen options cookies last for a year. If you select “Remember Me”, your login will persist for two weeks. If you log out of your account, the login cookies will be removed.

If you edit or publish an article, an additional cookie will be saved in your browser. This cookie includes no personal data and simply indicates the post ID of the article you just edited. It expires after 1 day.

Membership and payments (Paid Memberships Pro + Stripe):

If you register for membership or make a donation/payment, cookies may be used to support login sessions, membership checkout flow, fraud prevention, and payment processing. Payment functionality may load services from Stripe, which can set cookies and similar technologies for security and fraud prevention and to facilitate transactions.

Analytics (Google Analytics):

We use Google Analytics to understand how visitors use the site (e.g., pages visited, time on site, device/browser, approximate location). Google provides EU-focused privacy protections; for EU users, Google Analytics does not log or store IP addresses, and any collected IP addresses are dropped before logging. You may be able to limit or block analytics cookies using your browser settings and/or Google’s opt-out options.

Embedded content from other websites

Articles on this site may include embedded content (e.g. videos, images, articles, etc.). Embedded content from other websites behaves in the exact same way as if the visitor has visited the other website.

These websites may collect data about you, use cookies, embed additional third-party tracking, and monitor your interaction with that embedded content, including tracking your interaction with the embedded content if you have an account and are logged in to that website.

Who we share your data with

We share data only when necessary to operate the site, provide services you request, and protect the site.

  • If you request a password reset, your IP address will be included in the reset email.
  • Stripe (payments): If you make a payment, relevant personal data (such as name, email, billing details, and transaction-related information) is shared with Stripe to process the transaction. Stripe may act as a processor for payment services provided to us and facilitates payment transactions on our behalf.
  • Google Analytics (website analytics): Data about website usage is shared with Google Analytics to generate reports and insights.
  • Paid Memberships Pro (membership management): Membership-related data you provide (e.g., profile details and membership level/status) is stored on the site and used to manage member access and subscriptions. Paid Memberships Pro supports WordPress tools for exporting/erasing membership data when applicable.
  • Gravatar (comments, if enabled by you): Hashes of email addresses may be sent to Gravatar to display your avatar. (See “Comments.”)

How long we retain your data

If you leave a comment, the comment and its metadata are retained indefinitely. This is so we can recognize and approve any follow-up comments automatically instead of holding them in a moderation queue.

For users that register on our website (if any), we also store the personal information they provide in their user profile. All users can see, edit, or delete their personal information at any time (except they cannot change their username). Website administrators can also see and edit that information.

Membership and payment records: We retain membership status/history and transaction records for as long as needed to administer memberships, maintain accurate financial records, resolve disputes, and meet legal/accounting requirements. (We do not store full card numbers; payment details are handled by Stripe, and we typically store references such as transaction IDs, customer IDs, subscription IDs, and membership status.)

Contact form submissions: We retain inquiries for as long as necessary to respond and for reasonable follow-up and recordkeeping.

What rights you have over your data

If you have an account on this site, or have left comments, you can request:

  • An exported file of the personal data we hold about you (including data you provided), and
  • That we erase personal data we hold about you.

This does not include any data we are obliged to keep for administrative, legal, accounting, or security purposes.

Where your data is sent

Visitor comments may be checked through an automated spam detection service.

In addition, when you use our membership/payment features and analytics features, certain data is transmitted to Stripe and Google as described above.
